2. Booking Terms & Conditions

By making a booking with Ai Vacations, you agree to the following terms:

• Deposit Requirements: A non-refundable deposit of 20% of the total trip cost is required to confirm your booking.
• Payment Schedule: Full payment is due 60 days prior to departure unless otherwise specified.
• Price Changes: All prices are subject to change until full payment is received, except for confirmed bookings.
• Name Changes: Name changes may be permitted up to 30 days before departure with applicable fees.
• Special Requests: We will endeavor to fulfill special requests but cannot guarantee availability.

3. Cancellation Policy

Our cancellation policy is designed to be fair while accounting for commitments we make to suppliers:

• More than 60 days before departure: Loss of deposit
• 59-30 days before departure: 50% of total price
• 29-15 days before departure: 75% of total price
• 14 days or less before departure: 100% of total price

Cancellation fees may vary for certain tours, cruises, or during peak seasons. Travel insurance is strongly recommended to protect against unforeseen cancellations.

4. Privacy Policy

Ai Vacations is committed to protecting your personal information:

• Information Collection: We collect personal data necessary for booking and personalizing your travel experience.
• Data Usage: Your information is used to process bookings, improve services, and (with consent) send marketing communications.
• Third Parties: We only share necessary information with travel suppliers (hotels, airlines, etc.) to fulfill your bookings.
• Security: We implement industry-standard security measures to protect your data.
• Cookies: Our website uses cookies to enhance user experience and analyze site traffic.

You may request access to or deletion of your personal data at any time by contacting our privacy officer.

5. Travel Documents & Requirements

It is the traveler's responsibility to ensure proper documentation:

• Passports: Must be valid for at least 6 months beyond your return date for most international travel.
• Visas: Requirements vary by destination and nationality. We provide guidance but cannot be responsible for visa issuance.
• Health Requirements: Some destinations require specific vaccinations. Check with your doctor and government travel advisories.
• Minors Traveling: Additional documentation may be required for children traveling without both parents.

Ai Vacations cannot be held responsible for denied boarding or entry due to improper documentation.

6. Travel Insurance

We strongly recommend comprehensive travel insurance for all trips:

• Coverage: Should include trip cancellation, medical expenses, evacuation, baggage loss, and personal liability.
• Pre-existing Conditions: Must be declared when purchasing insurance.
• Purchasing Window: Some benefits require purchase within 14 days of initial deposit.
• Claims: All claims must be filed directly with the insurance provider.

Ai Vacations can assist with recommending insurance providers but is not an insurance broker.

7. Limitation of Liability

Ai Vacations acts as an intermediary between travelers and service providers:

• We are not liable for acts of God, weather, war, terrorism, or other force majeure events.
• We are not responsible for injuries, illnesses, or losses incurred during travel.
• Our liability for any claim is limited to the amount paid for the affected travel service.
• We are not responsible for third-party supplier failures including airlines, hotels, or tour operators.

By booking with us, you agree to release Ai Vacations from liability for circumstances beyond our reasonable control.

8. General Provisions

Governing Law: These Terms shall be governed by and construed in accordance with the laws of the State of California, without regard to its conflict of law provisions.

Severability: If any provision of these Terms is found to be invalid, the remaining provisions will remain in full force and effect.

Entire Agreement: These Terms constitute the entire agreement between you and Ai Vacations regarding our services.

Changes to Terms: We reserve the right to modify these terms at any time. The current version will always be posted on our website. Continued use of our services constitutes acceptance of the modified terms.
